Service · AI for your business

An operations manager that never forgets a deadline.

Most service businesses with 5 to 20 people don't have an office manager, an in-house bookkeeper, or anyone technical. The owner does the back office at night. An AI operations agent keeps the books tidy, the deadlines tracked, and the crew paperwork moving, and gives you a short list each morning. You and your CPA still make every call.

  • Prepares, never files or pays
  • Works with your bookkeeper and CPA
  • No CTO required

In short

An AI operations manager is an agent connected to a small business's accounting, payroll, timesheet, and document tools that does the back-office prep work: categorizing transactions, matching receipts, tracking tax and payroll deadlines, flagging timesheet problems, running onboarding checklists, and sending the owner a weekly scorecard. Almanac Office sets these up for Utah service businesses. The agent prepares and reminds; it never files taxes, runs payroll, or moves money on its own.

What it handles

The office work nobody was hired to do.

Four areas, set up one at a time, starting with whichever costs you the most hours.

01 · Money

Books that are ready when your bookkeeper is.

  • Suggests categories for new transactions in QuickBooks or Xero for your bookkeeper to confirm
  • Matches receipts the crew texts in to card charges, and asks about the ones that don't match
  • Drafts reminders for overdue invoices, for your OK
  • Flags duplicate bills and charges that look unusual
  • A weekly cash snapshot: in the bank, owed to you, owed by you, payroll coming
02 · Taxes

Deadlines tracked. Packets ready.

  • Your tax calendar, with reminders two weeks out: quarterly estimated taxes, payroll filings, Utah withholding and unemployment reports
  • Collects a W-9 from every subcontractor before the first payment, and tracks who will need a 1099-NEC (the threshold is $2,000 for payments made in 2026)
  • Tags invoice lines as taxable or not, using your CPA's rules
  • Builds the year-end packet for your CPA: profit and loss, 1099 list, mileage, equipment purchases
03 · People

Crew paperwork that keeps moving.

  • Reviews timesheets before payroll: missed punches, overtime past 40 hours, odd entries
  • Prepares payroll in your payroll software for you to review and run
  • Routes time-off requests to you with who else is out that week
  • Runs the new-hire checklist: offer letter for e-signature, payroll setup, gear and logins, and Utah's new-hire report within 20 days if your payroll provider doesn't file it
  • Answers crew questions from your handbook: payday, time off, uniforms
04 · Operations

The things that expire.

  • Renewal reminders for licenses, insurance, vehicle registrations, and certifications
  • Vehicle maintenance by mileage or date
  • Supply reorders from what jobs actually used
  • A weekly scorecard: jobs done, revenue, quotes won, reviews, money owed
  • Turns your voice memos into written procedures the crew can follow

An example week

What lands on the owner's phone.

Hard lines

What it never does.

The back office is where a careless agent can do real damage. These limits are set in the setup, not left to the AI's judgment.

  • Never files a tax return or contacts the IRS or the Utah State Tax Commission for you.
  • Never runs payroll or moves money on its own. It prepares; a person approves and presses the button.
  • Never gives tax or legal advice. It follows the rules your CPA and attorney give it, and asks them when something's new.
  • Never makes people decisions. Hiring, firing, discipline, and pay changes are yours.
  • Never copies sensitive records. Social Security numbers, bank details, and medical notes stay in your payroll and HR systems.
  • Every action is logged, so you and your bookkeeper can see exactly what it did and when.

FAQ

Back-office questions.

Does this replace my bookkeeper or CPA?

No. It does the prep work they'd otherwise bill you for or chase you about: categorizing, matching receipts, collecting W-9s, and building the month-end and year-end packets. They still review the books, give the advice, and file the returns.

Can the agent run payroll?

It can prepare it, not run it. It checks timesheets, flags missed punches and overtime, and gets payroll ready in your payroll software. You review and press run. Gusto's own AI connector requires a person to confirm every action, and we keep it that way.

What about my employees' private information?

Social Security numbers, bank details, medical notes, and anything similar stay inside your payroll and HR systems. The agent works with summaries and flags, never copies of sensitive documents, and it only gets access you grant and can revoke.

Do I need to be technical?

No. That's the point. You talk to it like you'd talk to an office manager, by text or chat. We do the setup, connect your tools, and show you and your office person how to use it.

Do you set up Meta Muse, ChatGPT, or Claude?

Yes. We pick the one that connects best to the tools you already use. Claude and ChatGPT both have official connectors for Jobber, Gusto, QuickBooks, and Quo; Meta's Muse for Small Business connects QuickBooks, Stripe, Shopify, and your Facebook and Instagram accounts. Some businesses use more than one.

Is my service subject to Utah sales tax?

Most services in Utah aren't, but some are, and it can depend on the line item: cleaning a home generally isn't taxable, cleaning furniture or rugs generally is. Your CPA decides; the agent tags invoice lines the way your CPA tells it to.
