AI bookkeeping and payroll: what's real.

QuickBooks and Gusto both ship their own AI now, and general assistants like Claude and ChatGPT can connect to your books and payroll directly. Some of it saves real hours. Some of it should never run without you. Here is what each one does today, as of October 2026, and where the line sits.

The short answer

AI bookkeeping is real for prep work: QuickBooks Online's Accounting AI categorizes transactions and, on higher plans, reconciles accounts, and Gusto's AI can prepare payroll and fix timesheets. Every payroll run and payment still needs a person to approve it, and none of these tools replace your bookkeeper's review or your CPA's tax advice. A general AI agent connected to QuickBooks, Xero, Gusto, or Ramp can do the same kind of prep across all your tools. What QuickBooks Online's own AI does

Intuit now groups its QuickBooks AI under the name Intuit Intelligence. You may still see the older name, Intuit Assist, which Intuit announced for QuickBooks in late 2024. Inside Intuit Intelligence is a chat assistant (it answers plain-language questions about your books, builds reports, and has monthly usage limits) and a set of agents, each focused on one job. Intuit's help center lists eight:

  • Accounting AI. Categorizes bank transactions and learns from your corrections. When a transaction needs context, it asks you. On higher plans it compares your bank statements to your books, finds the differences, and suggests fixes.
  • Payments AI. Drafts invoice reminders, suggests late fees, and turns customer emails into estimates for you to review.
  • Payroll AI (with QuickBooks Payroll). Collects hours from employees by text or the QuickBooks Workforce app, spots inconsistencies, and drafts a payroll for you to review. It runs payroll when you tell it to.
  • Sales Tax AI. Helps categorize what you sell for sales tax and checks returns for errors before you file.
  • Business Tax AI. Suggests deductions and estimates quarterly tax payments.
  • Customer AI, Finance AI, and Project Management AI. Lead follow-up from your inbox, month-end insights, and job costing for project work. Project Management AI is labeled beta.

Which plan you're on decides which of these you get. Here is how Intuit's pricing page lists them in October 2026:

Worth knowing. Intuit's own pages say you stay in control and should review anything its AI drafts. They also say plainly that its AI doesn't replace your accountant. Plans and features change often, so check the pricing page before you upgrade for one feature.

What Gusto's own AI does

Gusto has three AI pieces, and they're easy to mix up:

  • Gus is Gusto's help assistant, on the web and in the mobile app. It answers payroll, benefits, and HR questions from Gusto's Help Center and links to the source article. Gusto tells you to read that source before you act on anything about pay, taxes, or employment law.
  • Cofounder is Gusto's AI that does the work, in early access by invitation. It can prepare, preview, and submit payroll, run contractor payments, approve timesheets and expenses, and repeat tasks on a schedule. By default it asks before it views or changes anything. For submitting payroll or paying contractors, it always asks for approval, even inside an automation and even if you've set a permission to "always allow."
  • The Gusto connector for Claude and ChatGPT brings your live Gusto data into the AI you already use. It can answer questions about your team, explain why a payroll is blocked, add hours, tips, and bonuses to a payroll, fix timesheets, and onboard a new hire. Gusto says eligible customers can run payroll from Claude, and that payroll submissions are designed to require a preview and your confirmation first.

Gusto's developer documentation sets firm rules for that connector. You need a full admin account. You should be asked to confirm every tool call before it runs. You shouldn't connect any other connector to the same chat session. And you must turn off model training in your AI tool. Those rules are sensible, and they shape how a back-office agent has to be set up: payroll happens in its own session, with you approving each step.

What a general AI agent can do when it's connected

The built-in AI only sees its own product. A general assistant like Claude or ChatGPT, connected to several tools, can work across them: match a receipt in Ramp to a charge in QuickBooks, or check Gusto hours against the jobs in your schedule. Intuit's QuickBooks connector in Claude's directory, built by Intuit, reads reports and aging, and can create and update invoices, estimates, and customers. Xero has a connector there too. Safe to hand over

  • Suggesting categories for new transactions, for your bookkeeper to confirm.
  • Matching receipts the crew texts in to card charges, and asking about the ones that don't match.
  • A deadline calendar with reminders two weeks out, so nothing sneaks up on you.
  • Payroll prep for review: flagging missed punches and overtime, and getting the payroll ready for you to check.
  • Drafting invoice reminders and month-end summaries for your approval.
  • Collecting W-9s before a new subcontractor's first payment.

Never hand over

  • Filing anything. Tax returns, payroll filings, and sales tax returns are filed by you, your CPA, or your payroll provider.
  • Paying anything on its own. No official connector we've found pays bills, but some raw APIs can move money without the approval steps you've set up. An agent should never hold that power.
  • Running payroll unattended. Gusto's own rules don't allow it, and you wouldn't want it anyway.
  • Tax advice. An agent can follow the rules your CPA gives it. It shouldn't make them up.

This is the same approval-first rule from getting started with AI agents, applied to the part of the business where mistakes cost real money.

Deadlines worth handing to an agent

Deadline tracking is the easiest win. Here are the ones small Utah employers trip on this season. These are reminders, not advice; confirm each with your CPA or payroll provider, who may already file some of them for you.

  • Q3 2026 Form 941: due Nov 2, 2026 (Oct 31 falls on a Saturday).
  • 2026 W-2s, 1099-NECs, and the Q4 Form 941: all due Feb 1, 2027.
  • The 1099-NEC threshold is now $2,000 for payments made in 2026, up from $600. The old habit of issuing one at $600 will have you filing forms you don't need.
  • Utah new-hire reports: every new or rehired employee goes to the Utah New Hire Registry within 20 days of their first day of work.
  • Utah sales tax is decided line by line. Most services in Utah aren't taxable. Cleaning a home generally isn't; cleaning rugs or furniture generally is. A cleaning company can have both on one invoice, so an agent should tag each line the way your CPA tells it to.

Privacy basics

  • Use a business plan, or turn training off. Business plans from OpenAI and Anthropic don't train on your data by default. On a personal plan, find the setting that controls whether your chats train models and turn it off. Gusto's rules require it.
  • Never paste Social Security numbers, bank account numbers, or passwords into a chat. Those stay inside QuickBooks and Gusto. The agent works with summaries and flags.
  • Give the least access that works. Read-only where you can, a dedicated user where the tool allows it, and access you can revoke in one click.
  • Keep payroll in its own session. Gusto asks that no other connectors share the chat, which also keeps payroll data out of everything else.
  • Keep a log. You and your bookkeeper should be able to see what the agent did and when.

Getting set up

If your QuickBooks plan already includes Accounting AI, turn it on and let your bookkeeper review what it does for a month. Bookkeeping and payroll AI questions.

Can QuickBooks AI do my bookkeeping by itself?

Not entirely. Intuit's Accounting AI categorizes transactions, asks you about the ones it can't place, and on the Plus plan and up reconciles accounts and flags anomalies. Someone who knows your books still needs to review it, and Intuit itself says its AI doesn't replace your accountant.

Which QuickBooks Online plan has the AI agents?

It depends on the agent. Intuit's pricing page lists expense categorization on every paid plan, Accounting AI clean-up, Payments AI, and Business Tax AI from Essentials, reconciliation, Sales Tax AI, and Customer AI from Plus, and Finance AI and Project Management AI on Advanced. Check the pricing page before you upgrade; the lineup changes often.

Can AI run payroll in Gusto?

It can prepare it, and with your approval submit it. Gusto's Cofounder (early access) and Gusto's official connector for Claude and ChatGPT both ask you to confirm before payroll goes through. Nothing should run payroll without a person approving it.

Is it safe to connect AI to my accounting and payroll?

It can be, with limits. Use a business AI plan or turn off model training, never paste Social Security or bank numbers into a chat, give the agent only the access it needs, and keep the Gusto connection in its own session as Gusto's rules require.

Will AI replace my bookkeeper or CPA?
