In short

Almanac Office runs review management for Utah service businesses: a review request goes to every customer after every job, with no screening, and every review on Google, Yelp, Facebook, the BBB, and Angi gets a reply within a day. Replies to negative reviews wait for the owner's approval. It follows Google's ban on incentives and review gating and the FTC's 2024 rule on consumer reviews, and it's part of the Found plan at $499/month.

How it runs

Asking is the whole trick.

Most happy customers would leave a review. Most are never asked, or asked once, a week later, when they've forgotten. Timing and consistency do most of the work.

01 · Timing

Sent when the job closes.

A short text or email goes out the same day the job is marked done, while the fixed furnace or clean kitchen is still fresh. One gentle reminder a few days later, then we stop.

02 · Everyone

No screening.

Every customer gets the same message with a direct link to your Google review form. No "were you happy?" filter in front of it. That's review gating, and Google prohibits it.

03 · Replies

Answered within a day.

Every review gets a reply in your voice that mentions the actual job. No identical "Thanks for your business" pasted under all of them.

04 · Bad reviews

Held for you.

A one- or two-star review gets a calm draft reply that's held for your approval. You can edit it, approve it, or call the customer first.

05 · Platforms

Watched everywhere.

Google, Yelp, Facebook, the BBB, and Angi, monitored and answered in one place. Requests point to Google, where most local customers read reviews.

06 · Reporting

Counted monthly.

Requests sent, reviews received, average rating, and response time, in your monthly report. You see whether the habit is working.

The rules

No shortcuts that get you flagged.

Review rules got stricter, and the penalties are real: removed reviews, profile warnings, and federal fines. This is what we follow. It's not legal advice. Check with your attorney if you're unsure about a promotion.

  • No incentives. Google prohibits offering anything for a review, positive or not. No discounts, gift cards, or raffle entries.
  • No gating. Google prohibits asking only satisfied customers. Everyone gets the same request.
  • No fake or bought reviews. The FTC's 2024 rule bans fake reviews, buying reviews, and incentives conditioned on what the review says.
  • No staff or family reviews posted as if they were customers.
  • Nothing to Yelp. Yelp asks businesses not to solicit reviews at all, so we reply there and leave the asking to Google.
  • Texting done properly. Business texts from a 10-digit number require A2P 10DLC registration, and customers should agree to receive texts. We register you and collect consent when the job is booked.

The full playbook, including what to say and when, is in how to get more Google reviews within the rules.

Setup

Connected to how you close jobs.

  1. 01

    Hook into your jobs

    First week

We tie the request to however you mark a job done: your scheduling app where it can send a notice, a calendar, or a simple form your crew taps on their phone.

  2. 02

    Write the messages

    First week

A short request in your voice and a reply style guide. You approve both before anything is sent.

  3. 03

    Register for texting

    Varies

A2P 10DLC registration goes through the carriers and can take from days to a few weeks. Email requests go out in the meantime.

  4. 04

    Run it

    Every job after

Requests go out, replies get posted, bad reviews wait for you, and the count shows up in your report.

In the Found plan, $499/month.

Reviews come with local SEO, Google Business Profile management, and the monthly AI visibility check, because review count, recency, and replies feed all three. Assistants read your reviews too.

FAQ

Review questions.

Can I only ask happy customers for reviews?

No. Google prohibits review gating, which means screening customers first and only sending the happy ones to Google. We send the same request to every customer after every job.

Can I offer a discount or gift card for a review?

Not for Google reviews. Google prohibits incentives for reviews, and the FTC's 2024 rule on consumer reviews bans incentives that depend on the review being positive or negative. Check with your attorney before running any review promotion.

Why don't you ask for Yelp reviews?

Yelp's own guidelines tell businesses not to ask customers for reviews, and its software filters reviews it thinks were solicited. So we monitor Yelp and reply there, but we don't send customers to it.

Do you reply to bad reviews without asking me?

No. Positive reviews get a reply within a day. Negative or tricky reviews get a drafted reply that waits for your approval, because how you answer a complaint is your call.

Can you remove a bad review?

Only the platform can remove a review, and only if it breaks that platform's rules, like a review from someone who was never a customer. We flag those for removal. For honest bad reviews, a calm reply does more than removal would.

Do I need anything set up to send review texts?

Yes. Business texting from a regular 10-digit number requires A2P 10DLC registration, and customers should agree to get texts from you. We handle the registration and ask for consent at booking.
