The math
No hidden assumptions.
The calculator uses a 50-week working year and only the numbers you enter:
- Admin cost per year = hours per week × your hourly value × 50.
- Slow-reply quotes per year = quote requests per week × (100% − same-day share) × 50.
- Revenue in slow replies = slow-reply quotes × the share you'd win back × average job value.
- Hours back per week = admin hours × the share AI could take on.
With the starting numbers (10 hours, $75 an hour, 8 quotes a week, half answered the same day, $300 jobs, 10% won back, 40% handled by AI), that's $37,500 a year in admin time, 200 slow-reply quotes a year, about $6,000 in work those slow replies could be costing, and 4 hours a week back.

What counts as admin time?
Anything that isn't the job itself: writing quotes, answering 'are you still coming Thursday?' texts, rescheduling, chasing invoices, entering receipts, and getting payroll ready. Most owners undercount it because it happens in five-minute pieces at night.
What should I use for my hourly value?
What you'd pay someone to do the work you're not doing while you're on admin, or what an hour of your billable work brings in. If you're unsure, use what a good office manager costs per hour in your area.
Where do the 'won with faster replies' numbers come from?
From you. The calculator doesn't assume any industry statistic. Set the share of slow-reply quotes you think you'd win back if every request got a same-day answer, and it does the math.
How much of my admin can AI actually take?
